Six problems that cost money. For each one, what closes it.

Here we start from the problems: six lines a business pays without seeing them, and under each one the systems we have already built to close it. No business takes them all, and none should. You start where the loss is most visible, often from just one: if that piece has returned more than it cost, the next one is assessed, otherwise you stop there. Which comes first is decided by the method, after looking at the business.

As the pieces are added, they converge on a single point from which everything is seen: the Cruscotto.

What follows is the summary of each piece. Each one has its own page, which explains how it works step by step, what runs on its own and what waits for a person, and which number shows whether it is paying off.

  1. Hours spent doing by hand what repeats
  2. Requests and contacts lost between channels and languages
  3. Missed bookings and customers who don't come back
  4. Money you are owed that arrives late, or never
  5. Customers who are out there, and don't reach you
  6. Deadlines and numbers nobody checks in time

Capture and first response

We measure: average time to first response.
How it works

Requests from WhatsApp, email or the website are collected in a single place and classified in real time. Recurring questions have a reply approved by the business; the rest goes to a person, with the context already gathered.

Expected resultsWhoever answers a lead within 5 minutes is up to 100 times more likely to make contact with them than someone who waits 30 minutes. Source: Harvard Business Review / InsideSales

We have written about what that figure really says, and what it doesn't, in the five minutes that decide a request. On where automated request handling is heading, and with what caveats, Gartner's forecast on customer service.

Data Ingestion

Automatic document entry

We measure: documents processed without manual intervention.
How it works

Emails in foreign languages, PDF orders, delivery notes and invoices are read and extracted into structured data with no manual copying into the management software. The same mechanism covers pre-accounting (recording invoices and transactions before they go to the accountant) and recurring data entry of any kind that today takes hours of manual work.

Expected resultsItalian invoices have arrived already structured since 1 January 2019, and in 2025 2.4 billion of them went through the Exchange System (Sistema di Interscambio): the manual work that remains is on orders, transport documents and whatever arrives from abroad. The time is counted on your own batch of documents, before any quote. Source: Agenzia delle Entrate, I risultati 2025

Multilingual Draft

Multilingual drafts

We measure: preparation time of a multilingual communication.
How it works

Communications and documents going abroad are prepared in draft in the recipient's language, always with human review before sending.

Expected results76% of consumers prefer to buy products with information in their own language; 40% never buy from a website in another language. Source: CSA Research · Can’t Read, Won’t Buy, 8,709 consumers in 29 countries
Data Infrastructure

Adaptive CRM

We measure: leads and reminders no longer lost.
How it works

The end of scattered Excel files: a central database synchronised in real time across sales, warehouse and leads, in place of sheets that nobody updates at the same pace.

Expected resultsEstimates of the return on CRM projects vary widely depending on how much the system is actually adopted: the same research firm measured 8.71 dollars per dollar invested in one case analysis, and clearly lower values in later surveys. It is a range, not a promise. Source: Nucleus Research

Missed bookings and customers who don't come back

Revenue recovery
Booking Recovery

Booking recovery

We measure: no-shows avoided.
How it works

A reminder goes out before the appointment; whoever doesn't confirm is contacted again. The slot that would otherwise go empty can be reassigned in time.

Expected resultsIn the clinical field, where measurement is most rigorous, a systematic review of 21 studies covering more than 16,000 patients finds that people who receive a reminder are 25% less likely not to show up (15% against 21%). Source: BMJ Open, systematic review and meta-analysis · In restaurants, an observatory covering 212,000 bookings measures a 32% reduction with automatic reminders. The size of the effect still has to be measured on site.
Customer Pipeline & Reactivation

Customer qualification and reactivation

We measure: time to follow up, share of leads followed.
How it works

Every contact is classified by priority and status, with a unified history. An automatic sequence contacts dormant customers again and records the replies and the orders recovered.

Expected resultsA contact who hasn't said no stays open, and almost always also stays without an assigned next step. This system makes visible who is stalled, for how long, and whose turn it is to move them, which is the point where a negotiation dies out without anyone deciding to let it go.

Money you are owed that arrives late, or never

Cost recovery
Reminders

Payment reminders

We measure: average days to collect.
How it works

A sequence with three levels of increasing firmness follows overdue invoices, instead of depending on the mood of whoever should be doing it that morning.

Expected resultsEuropean businesses lose an average of 73 working days a year chasing late payments, and about 11% of revenue is collected after the due date. Source: Intrum, European Payment Report
Bandi Matcher

Awareness of grants and opportunities

We measure: opportunities flagged in good time.
How it works

Grants and incentives relevant to the sector are identified and flagged as they emerge, instead of depending on one person's memory.

Expected resultsNo deadline missed because nobody had checked it that week.

Customers who are out there, and don't reach you

New demand generation
Reviews

Review follow-up

We measure: average response time to a review.
How it works

After the visit, the system collects reviews and prepares a draft reply, ready for the owner's approval before it is published.

Expected results97% of consumers read reviews of local businesses; 80% are inclined to choose a business that replies to all its reviews. Source: BrightLocal · Local Consumer Review Survey 2026, 1,002 US consumers
Lead generation

Finding and qualifying new contacts

We measure: qualified contacts per week, and the share discarded with the reason.
How it works

The system looks for companies that match the buyer's profile, verifies the data on public sources, discards those that are off target and delivers the list with the reason for each choice written down. Sending stays a human act.

Visibility

Presence on search engines and AI assistants

We measure: indexed pages, impressions and average position in Search Console.
How it works

Content, structured data and guidance files written so that a search engine and an AI assistant understand what the business does, and cite it when someone asks.

Content

Sales copy and materials

We measure: time from draft to publication.
How it works

Product sheets, pages, emails and posts written in the buyer's language. AI prepares the draft, the review is human and is declared on the content.

Custom chatbot

Answers from the company's knowledge base

We measure: answer accuracy against the real knowledge base.
How it works

An assistant that answers by drawing on a knowledge base specific to the business (product sheets, policies, past FAQs), with or without a RAG system depending on the volume of knowledge to handle.

An assistant that talks to a person is among the systems that must be declared as AI. What that really means for the business using it, we have laid out here.

Expected resultsTools built on retrieval from documents, and sold as hallucination-free, are still wrong between 17% and 33% of the time: that is why every answer cites the document it comes from, and outside the agreed scope the system says it doesn't know. Source: Stanford RegLab, preregistered evaluation
B2B Acquisition Engines

B2B acquisition engines

We measure: qualified meetings generated.
How it works

The infrastructure for cold outreach: domain preparation, AI-assisted contact research and enrichment, targeted sequences towards the right companies.

Expected results82% of buyers accept meetings with those who reach out first, and it takes eight touches on average to get one. These are mostly US buyers, so read it as an order of magnitude. Source: RAIN Group, 488 buyers and 489 sellers, 25 industries
Integrated Digital Storefront

The front door of an architecture, not a standalone website

We measure: requests generated by the website that are actually qualified.
How it works

A website with an editorial design, connected to the company's internal systems instead of remaining a static storefront cut off from everything else.

Expected resultsWhen more than 2,600 people explained why they did or didn't trust a website, the look of the site was the reason cited most of all, present in 46.1% of the comments (Stanford Web Credibility Project); and 53% of mobile visits are abandoned if the page takes more than 3 seconds to load. Deadlines and numbers nobody checks in time

Internal processes
Scadenzario

Operational deadline alerts

We measure: deadlines anticipated with at least seven days' notice.
How it works

Every morning at 7:30 the system checks the deadlines of the next seven days (contracts, compliance obligations, renewals) and flags only those that require action.

Expected resultsKnowledge workers spend a substantial part of the week looking for information and handling administrative tasks instead of high-value work: that is the time this system gives back.
History & Accountant

Monthly reporting

We measure: the indicators defined together.
How it works

On the first of the month: a narrative letter for the owner and a PDF report already in the format the accountant needs. The indicators are the ones defined during the Analysis.

Expected resultsIn the central hours of the day, people at work are interrupted by meetings, emails and messages on average every two minutes, 275 times a day: a report that arrives already read saves one more interruption. Source: Microsoft Work Trend Index, 31,000 respondents in 31 countries

·Where the pieces converge

The Cruscotto

Each piece on this page, taken alone, lives on its own. The Cruscotto is the point from which they are seen together: built on the real structure of the business, in the morning it shows what needs a decision today and stays quiet about the rest.

Every Itria architecture is built this way: one piece at a time, each one proven before the next. The method that decides which piece comes first is the same for every business.
